Didactic Coordinator for the Physician Assistant Program will provide administrative support to 6-7 faculty members, and the Didactic Director, involved in the classroom phase of the PA curriculum. Support includes creating, posting, evaluating, coordinating exams; scheduling, coordinating and scheduling student exercises, assisting in standardized patient training and onboarding; on boarding new students, verifying new student requirements, enrollment of students in the didactic phase courses, creating and input data in to tracking sheets, and tracking student academics and behavioral requirements; gathering, analyzing, and reporting data to faculty, the Didactic Director, Director of Assessment, and the Program Direction. Support to students include, providing course grades, concentration grade tracking and providing bimonthly report cards, tracking behavioral concerns, first line support for ExamSoft, D2L, enrollment, and academic hold issues.
Didactic Coordinator is a part of the PA Program staff and reports to the PA Program Director.
- A minimum of two years of experience providing administrative support to multiple individuals is required.
- Working in higher education is desired, but not required.
- A suitable combination of education and experience may be substituted for minimum qualifications.

Provide administrative support for the Didactic (classroom) phase of the PA Program curriculum to include:

Academic support: (student, faculty, Director of Assessment, Didactic Director, and Program Director) 50%
- Student Onboarding: Works with the Program Coordinator in the onboarding of new students into the PA program and the didactic phase. Contacts, requests, and tracks that students have submitted records and documentation that assure students have met the requirements to enter the PA program.
- Plans, coordinates, and communicates with stakeholders regarding new student onboarding to software applications for the program (ExamSoft, D2L, eValue, Outlook calendar, Background checks software), program and student calendars, and university resources (OCU library, Bluelinks).
- Serves as key liaison between student and program leadership during onboarding and the didactic phase.

Enrollment: Enrolls all didactic phase students into courses each semester and serves as the first contact for students to manage enrollment holds and concerns, and serves as an academic advisor for students.

Program and University Orientation: Coordinates and communicates with all parties the orientation of new students into the PA program, including creating and assigning student-student mentor groups, faculty-student advisor groups; plans program orientation, recruits, manages, and runs student and university orientation.

Didactic and academic schedules: Creates and disseminates current and upcoming program didactic and academic schedules in coordination with the Didactic Director, faculty, and university staff; creates and manages longitudinal didactic and cohort Outlook calendars.

Standardized patient (SP) coordination: Creates and longitudinally manages all standardized patient (SP) activities (SP training, OSCE/simulation activities, SP onboarding, scheduling SPs, coordination of laboratory and SIM center use). Works with the physical diagnosis coordinator to onboard new SPs to the university and SP activities. Communicates, schedules, and assists in training new SPs to the PA program. Initiates employment and payment for new SPs, and tracks payment for SP academic activities

Course coordination: Serve as the primary academic support for (6-7) faculty, the Program Director, Didactic Director, and Director of Assessment; engaging all aspects of 19 courses during each calendar year.
- Supports each course director with all instructional activities, coordinates room and classroom resource procurement with each course director, disseminates course schedules, and confirms syllabi for each course are uploaded in D2L and saved longitudinally in program databases for each course
- Serves as the first source of student support during the didactic phase
- Tracks and longitudinally stores course, program, and accreditation curricula data as directed by the Program Director and Didactic Director
- Provides first-line communication and support for faculty, stakeholders, and the university for interactions with the didactic phase
- Maintains, orders, and tracks course supplies and materials for didactic course delivery
- Performs other administrative and academic support duties in support of the Program's mission, and as assigned by the Program Director in coordination with the Didactic Director

Student Academic Support: Provides first-line support and information for (62) students during the didactic phase. Provides weekly academic concentration reports and academic report cards to students for academic progression monitoring and tracking. Serves as the first line of student support for didactic phase concerns with ExamSoft, enrollment, D2L, background checks, and certification training activities (blood-borne pathogen, HIPPA, ACLS/BLS/PALS)

Didactic Phase Updates: Provides administrative support for the Didactic Director and the Program’s didactic phase at faculty meetings and Curriculum Committee meetings as a function of the continuing self-study process. Creating reports, data sheets, and student progress evaluations

Assessment and Examination Coordination for the Didactic Phase: 30%
- Didactic Student Assessments: Coordinate student assessments using ExamSoft and D2L: communicating weekly with course directors and the Didactic Director to create ExamSoft assessments, verify item tagging, and map all assessment questions to course and program outcomes (concentrations, competencies, courses, ARC standards, PANCE categories/tasks/topics).
- Communicate with course directors for the timely submission of examination content and items (weekly)
- Work with course directors in adjustments, creation, and posting of all ExamSoft course assessments
- Creates rubrics and assessment tools as assigned by course directors
- Communicate with students concerning exam downloads, confirm student exam downloads on exam day, analyzes exam content in coordination with course directors and Didactic Director
- Prepare for exams (seating charts, scratch paper, etc…) and proctors exam and/or accommodation exams
- Transfers all course assessment grades, daily, from ExamSoft to D2L for didactic course management
- Creates assessment schedules, calendars, and Outlook postings for all didactic phase assessments in coordination with the Didactic Director and course directors

Program Assessment for the Didactic Phase: 20%

Program Didactic Assessment: Longitudinally tracks, monitors, and updates all didactic data to Program databases for Programmatic and University maintenance (weekly, monthly, per semester)
- Communicates and coordinates with the Director of Assessment and Program Director to maintain, update, and monitor all didactic phase student survey tools and data for program self-assessment
- Maintain a comprehensive Program database to support periodic and continuous program self-assessment and self
- improvement for the didactic phase curriculum
- Creates and maintains website data pertinent to the didactic phase
- Compile and analyze program statistics and generate reports for:
- Program evaluation
- Accreditation compliance
- Annual reporting and surveys

Accreditation support: Manages and inputs academic curricular reports, concentration reports, grade reports, course evaluation reports, and longitudinal reports weekly, monthly, per semester, and annually for each course, in consultation with the Didactic Director, Director of Assessment, and Program Director. Facilitates completion of required program accreditation activities for the didactic phase of the curriculum. Maintains all didactic data for program self-study and accreditation in consultation with the Didactic Director and Program Director.

Physical Demands and Working Conditions:
- Work is primarily indoors, but requires the incumbent to be in an outdoor environment when traveling between campus buildings or off campus.
- Standard office hours are 8:00 a.m. to 5:00 p.m.
- Attendance at evening and weekend events is required.
- Off-campus, state and regional travel is required.
- Incumbent will be exposed to frequent noise caused by telephones and office machines.
