Position Summary:

Works closely with the Kramer School of Nursing faculty and students to perform a variety of related duties that follow prescribed or well-established procedures related to the assigned program(s). Coordinates student admission through preliminary advisement of prospective candidates. Assists students in academic planning and tracking each semester in the nursing school, as well as assisting faculty in student advisement, including the ability to enroll online. Actively participates in recruitment activities within and outside of the School of Nursing, coordinated with the Chair, Deans, and Office of Admissions.

Minimum Qualifications:

  • High school diploma or GED certificate.
  • Two years experience in a clerical or secretarial position, or any combination of experience and training equivalent to the basic skills qualifications.
  • Strong organizational skills, customer service skills, and the ability to complete tasks on time.

Preferred Qualifications:

  • Preference will be given to applicants with past experience in an academic or nursing setting.

Job Duties:

  • Responding to inquiries regarding the Kramer School of Nursing programs.
  • Performing initial transcript evaluations and counseling of interested nursing students.
  • Collecting and processing prospective nursing materials for the Chair’s final approval.
  • Maintaining student and alumni files.
  • Posting grades to academic progress check sheets each semester, keeping a check on each student’s GPA, and looking for those who might fall below the required level.
  • Assists in completing degree check sheets prior to graduation for the Dean’s final signature.
  • Providing pertinent information to students throughout the year.
  • Taking meeting minutes as assigned.
  • Working in recruitment and retention efforts. This may involve some travel, as well as evening recruitment activities.
  • Maintaining records accurately and completely filed or stored as directed for ready access and use.
  • Providing data for reports.
  • Assisting with nursing events.
  • Assisting the Chair in various administrative functions.
  • Answering oral and written requests and inquiries for routine and unusual information requiring independent decision.
  • Receiving telephone calls, handling all possible, and routing the remaining properly.
  • Maintaining own and designated work areas in a clean, safe, and orderly manner.
  • Assisting faculty, staff, and students as needed.

Other duties as assigned.

Knowledge, Skills and Abilities:

  • Typing 50 or more words/minute and proficient using Microsoft Office and Excel.
  • Excellent problem-solving techniques; ability to plan and execute independent projects and balance priorities and deadlines.
  • Strong interpersonal and customer service skills.
  • Excellent oral and written communication skills.
  • Accurate and attentive to details in all aspects of the job.
  • Skill in thinking analytically and logically.
  • Skill in using tact and diplomacy in verbal and written communication.
  • Proficient operation of office equipment.
  • Maintain total confidentiality of information that may be encountered while performing tasks.
  • Follow directions, meet deadlines, work as a team member, and assist others with deadlines during heavy periods.
  • Use clear, correct, and effective communication using the English language.

Physical Demands and Working Conditions:

  • Must be able to lift and, carry equipment and supplies weighing up to 40 pounds.
  • Must be able to bend, stoop, and reach.
  • Manual dexterity to operate a computer keyboard and other business machines efficiently.
  • Near vision sufficient to read written communications and computer display screens.
  • Adequate hearing to communicate effectively in person and by phone.
  • Work is primarily indoors, but requires an outdoor environment when traveling between campus buildings.
  • May be exposed to steady and fairly loud noise caused by telephone and office machines.
  • Standard office hours 8:00 a.m. to 5:00 p.m.
  • After-hours work as required.
  • Some off-campus, state, and regional travel may be required.
